CONSTITUTION of TOTALLY IT PREAMBLE
ARTICLE I NAME The name of the organization shall be
ARTICLE II PURPOSE 1. promotion, preservation, and practice of swing
dancing. 2. socializing, commingling and fellowship among
swing dancers.
ARTICLE III QUALIFICATIONS AND MEMBERSHIP Section A: Membership is open to any swing dancer
who: 1. is interested in the promotion, preservation and
practice of swing dancing. 2. is interested in socializing with other swing
dancers. 3. attends one or more Section B: Membership in ARTICLE IV OFFICERS AND ELECTIONS Section A: The officers of
Section B: The duties of the officers shall be as
follows: 1. The President shall be responsible for: planning
calendar of events, club meetings, induction ceremonies, and elections; overseeing social
activities and other nonprofitable purposes; initiating contact with collaborating
individuals, clubs and other organizations; arranging for facilities for social events and
fundraising events; maintaining the club website; overseeing legal aspects of club
organization 2. The Vice-President shall be responsible for:
acting as contact and liaison with collaborating individuals, clubs and other
organizations; overseeing publicity efforts for overseeing social activities and fund
raising events; assisting the President, Secretary and Treasurer with their
responsibilities; performing all Presidential responsibilities should the President be
rendered incapable of performing official duties 3. The Secretary shall be responsible for: all club
correspondence; overseeing gathering and storage of member contact information and club
records; keeping meeting minutes and distributing them via email to members; collection
and tabulation of ballots during elections. 4. The Treasurer shall be responsible for:
maintaining the Other Duties: May be divided among club officers or
delegated to interested club members maintaining the www.TotallyIt.org
web page, communication with general club members and
swing dance community, promoting social gatherings and events, coordination and supervision of weekly
meetings and gatherings, promotion of club-arranged events purchase of supplies for club functions. Section C: The term of the offices shall be
approximately one year, with the change of office coinciding with Section D: Election of officers shall be held in
January of each year. At least 2 weeks notice shall be given before the election meeting
to allow for nomination of candidates. Willing candidates will be listed on the ballot and
the ballot distributed by email to all members. Ballots
may also be requested by mail. Votes will be collected over a two week period and
tabulated by the Secretary. The persons who
receives the majority vote will be elected for each position. Results will be announced within 24 hours of the
election deadline. New officers will be
inducted into office at Section E: Any officer may be removed from office
in Section F: Any vacancy that may occur in an office
shall be filled by an appointment by the ARTICLE V MEETINGS Section A: Regularly scheduled meetings shall be
held once per month Section B: At least 7 days notice shall be given
for each regular business meeting of the organization that includes a vote on financial
business or governing policies Section C: Special emergency meetings may be called
with less than 3 days notice by the Section D: The meetings shall include an agenda,
call for new business and disposition of ARTICLE VI AMENDMENT PROCEDURES AND
REQUIREMENTS Section A: Amendment to the Totally Constitution
requires Presidential approval and two-thirds vote of the general membership. In the events that a two-thirds general vote
occurs, but the Presidential approval is not given, the requirement for Presidential
approval may be over-ridden by a two-thirds vote of the Executive Committee. ARTICLE VII GENERAL CLUB POLICIES Section A: New members are accepted on an ongoing
basis. New members must submit contact information, birth date, demonstration of
commitment to Totally it member qualifications and purpose, and membership fee in order to
be considered a member. New members will receive temporary identification cards until the
closest official member induction ceremony held biannually at Section B: Club officers are entitled to discounted
entry for club-organized events, as long as they actively help the club function and as
long as the club has sufficient funds to cover their cost of enrollment. Any club member
maybe granted a discounted entry to any club event, if they help to organize it by
participating in room set up, advertising, etc. Section C: The club officers that have some club
property in their possession, must turn in Section D: Hiring/Firing of and conveyance of these
actions to collaborating individuals and organizations is a function restricted to club
officers. Members may make confidential suggestions and recommendations, but all
actionable decisions are made by the club officers. Section E: Expeditures paid by members on behalf of
Totally it, shall be reimbursed using club funds, if the expenditure was approved at a
club meeting by majority vote or in writing by a club officer with Presidential approval,
and proper documentation of the expense is provided (ex, receipt).
